MINUTES OF F.O.P.P MEETING HELD 6TH NOVEMBER 2006


1. PRESENT: Jane Halliday, Tim Thornalley, Jane Lunn, and Roland Miller.
2. APOLOGIES: Victoria Jaquiss and Alison Plant.


3. TREE WALK AND TALK REPORT: Was it a success? Not much uptake, why? Do we need better publicity? Group discussed and felt that the tree walks are fantastic but the uptake is low and this could be down to lack of publicity. There is always interest at the Spring Celebration so feel need to carry on. Regards the publicity group agreed need to put banner out on the day of the event, this can be stored in the bowling club to make it easier to access. We need to do a calendar of events, possibly a newsletter to put out. Jane Halliday suggested we ask to advertise in HOST newsletter, she also has contacts that she can forward emails onto for us.
Tim suggested asking Steve Allen to make an audio or videotape of the walk for us so the information is down somewhere.
ACTION: JANE TO LOOK AT NEWSLETTER. TIM TO EMAIL PUBLICITY TO JANE HALLIDAY WHEN POSSIBLE.


4. PROGRESS ON THEATRE IN PARK: Tim fed back to the group on Jenny
Beaumont's behalf that there is a group of people interested that are actors and musicians. Group needs to meet with them and discuss brief.
ACTION: TIM TO TALK TO JENNY AND ARRANGE MEETING.


5. SURESTART GARDEN UPDATE: Jane Halliday explained to the meeting that all funding is now secured for the second phase of the garden in the park. The contract has been tended and there is a metal sculptor called Mick who will work with schools, Surestart children and possibly F.O.P.P. There is funding that will take education regarding parks into local schools and the garden will be used as an "outdoor classroom". There is a possibility that the group can be involved with the planting scheme, Jane suggested asking Helen to come along as she has shown an interest in the past regards planting. There will be dates set for consultations about planting and the sculptures, which Jane will let us know about. Group expressed an interest in helping with the actual planting, as it would be good for the group's publicity. The garden should be ready for March 2007, group asked if the opening could be part of the Spring Celebration, could have a storyboard there and Groundworks stall. Jane explained that John Weaver would be taking over in December as our contact at Groundworks. Jane said that Groundworks are there to support groups like ours in that they will help with funding and things such as photocopying and leafleting. Group asked about different projects that Groundworks could possibly help with, the conclusion was that Jane H would look at grants for the Mosaic wall and that they can provide equipment for events such as bulb planting, so group arranged to borrow 10 spades for next bulb planting day.
ACTION: JANE HALLIDAY TO DROP SPADES OFF FOR BULB PLANTING JANE LUNN TO INFORM PARKS OF THIS.


6. BULB PLANTING EVENT: Date decided 25th November at 11 a.m. Jane and Roland will arrange refreshments. Roland will inform bowling club and Tim will do a poster and find sign for refreshments.
ACTION: JANE AND ROLAND TO ARRANGE REFRESHMENTS, ROLAND TO INFORM BOWLING CLUB AND TIM TO DO POSTER.


7. XMAS CONCERT: Date is 17th December at 3.30 p.m. Jane will talk to Rose at the church and feedback to the group.
ACTION: JANE TO TALK TO ROSE AND FEEDBACK TO GROUP.


8. A.O.B: (a) Flags for glass; Has been suggested to the group that it would be good to hand out flags to dog walkers after events such as the Carnival so they can mark broken glass for parks to clear up. Tim to e-mail parks about it. (b) Admin sort out; Stella is eager to help sort out the admin as talked about before so Jane, Tim and Stella to make a date. (c) Photo prize; Jane asked if there was a prize for the winning photographer which the group has picked. Group think that they have to provide prize so Tim will look into digital cameras. (d) Spring Celebration; Tim told group we need to look at extra funding and or sponsorship. There was an idea for next years Spring Celebration. Jane suggested running a semi-permanent arts project that actually takes place in the playground in the style of Art Attack. Neil Reed has always expressed an interest in doing a project in the park so Jane will talk to him and feedback to the group at next meeting. (e) Helen who ran the bug hunt at this years spring Celebration has volunteered to do a few events throughout the year in the park that are aimed at children, can we run alongside tree walk? Jane to talk to Helen and get more details.
ACTION: TIM TO EMAIL RELEVANT PEOPLE RE; FLAGS. JANE TO CO-ORDINATE THE ADMIN SORT OUT. TIM TO LOOK INTO PRIZE OF DIGITAL CAMERA. JANE TO TALK TO NEIL REED AND HELEN.
